Privacy policy

What we collect

Account information. When you create an account, we collect your email address and password. If you sign in with Google, we receive your email address and basic profile information (such as your name) from your Google account.

Contact and sample report requests. When you use our contact form or request a free sample report, we collect your name, email address, and message.

Account page changes. When you update your account, we collect your email address, password changes, and notification preferences.

Property and financial data. The core of ReserveTrack is the information you enter about your properties and assets. This includes property name and address, monthly rent, purchase year, reserve balance, notes, and average tenancy length. For each asset, we store the asset type, install date, replacement cost, expected life, notes, and reminder settings. We also store uploaded warranty and invoice files privately, expense amounts, categories, dates, notes, linked assets, and your monthly savings confirmations.

Payment information. Payments are handled entirely by Stripe, our payment processor. Your card details are collected and processed directly by Stripe and never touch our servers. Stripe provides us with your customer email address, subscription status, plan, and trial dates, which we store so we can manage your subscription.

Automatically collected data. After you consent through our cookie banner, Meta Pixel and Google Ads may collect page views, conversion events, cookies, and device identifiers to help us understand which ads bring landlords to ReserveTrack. Before you consent, these tags do not load. We also receive standard hosting request data, such as your IP address, browser type, and operating system, from our hosting provider so we can deliver the site securely.

Outbound email data. We send reminder and monthly summary emails through Resend using your email address. Messages sent through our contact form are forwarded to reservetrack.official@gmail.com so we can respond to you.

Why we use your data

We use your information to provide and maintain your ReserveTrack account, generate reserve forecasts and reports, send reminders and summaries you set up, process payments and subscriptions, respond to support requests, and measure the effectiveness of our advertising (only with your consent). We do not sell your personal data, and we do not use it for automated decision making that produces legal or similarly significant effects.

How long we keep your data

We keep your account and property data for as long as your account is active. If you delete your account, we remove your personal and property information from our live systems within a reasonable period, except where we need to keep limited records to comply with legal obligations, resolve disputes, or enforce our agreements. Backup copies may persist for a short time after deletion before they are also removed.

Who we share data with

We do not sell or rent your personal data. We share information only with trusted service providers who help us operate ReserveTrack: Stripe for payment processing (subject to Stripe's privacy policy), Resend for sending emails, our hosting provider for site delivery, and Meta/Google for advertising measurement only when you have given consent. Each provider is bound by appropriate data protection obligations.

Your privacy rights

If you are in the European Union or United Kingdom, GDPR gives you rights to access, correct, erase, restrict, or object to processing of your personal data, and to receive a copy of data you provided in a portable format. If you are a California resident, CCPA gives you the right to know what personal data we collect, the right to request deletion of your personal data, and the right to opt out of the 'sale/sharing' of personal data for targeted advertising. ReserveTrack does not sell personal data. Where advertising measurement through Meta Pixel or Google Ads is considered sharing under CCPA, you can opt out at any time by clicking Cookie settings at the bottom of any page and choosing Reject.

Children's privacy

ReserveTrack is not intended for children under 16. We do not knowingly collect personal data from children under 16. If you believe we have collected data from a child, please use our contact form at reservetrack.app/contact or email reservetrack.official@gmail.com and we will delete it.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top of this page. Continued use of ReserveTrack after changes means you accept the revised policy.
